Computerised Wholesale Systems

In the modern world any large wholesale supplier will have a computerised wholesale system that takes cares of orders, tracks stock, creates invoices and so on. This will be an integrated system that covers all the various aspects of the wholesale business. Some of the systems use not only the transfer of data, but the automated transfer of the actual goods. While both of these types of systems are fine as long as they are running, they depend on the skills of humans to keep them in tip-top condition.

 

Since the mechanics of the system may suffer wear and damage, preventative measures should be taken to prevent the wear becoming a breakdown. This should involve a detailed schedule of inspection and replacement of any suspect or worn parts. This should be carried out by either fully qualified on-site personnel or farmed out to a company that specialises in the type of automated systems that are in use. While this may appear to be a unnecessary expense, the cost of the entire automated system coming to a halt could cost the company more in lost revenue, not to mention the bad will generated by the fact that the customers will not be receiving their deliveries.

 

Because wholesale companies have a huge amount of stock arriving and departing all the time the quantity of stock will fluctuate constantly; to monitor this, the company will have a complex computer system in place to track incoming orders and deliveries, as well as generating invoices and delivery orders. This will involve a network of different computer stations using a multitude of specialised software. If even part of the system crashes it will create problems. For example, if the person in charge of dispatches cannot let the central database know that an order went out, then the database will have stock listed as available for sale, when it is in fact sent out.

 

This is where the Information Technology technicians come in to play. It is their job to ensure that the system remains up and running at all times. While the company is likely to have a permanent IT department, it may be only one or two people. Their job will be to monitor the system for potential weaknesses, like online attacks by viruses. They will have to keep all the anti-virus and malware definitions up to date. However if any of the specialised software crashes, they will need to call in a programmer from the company who created the programme. It is important the wholesale company has an after sales service agreed in advance with the software company. To help avoid the personnel inadvertently bringing the systems down, all the employees with access to the computers should be properly trained in their use.
